How long does it take to process an application? What does the application information in my portal mean?

When the Nomad team receives an application, we begin to review it as quickly as possible. We review the application for completeness and review it against our screening criteria. We reach out to applicants via email for items that we are missing, and ask them to respond directly to our email. We ask that you please not reach out to the team asking what is missing. Please use this guide to understand the items we need. Reaching out to the team to ask for an application update slows down our ability to process applications.
From the time that an applicant submits an application, it can often take 2 hours before it will show up in your portal, as the data must pass through different systems. 
Application processing time can vary depending on various factors, such as the completeness of the initial application, the volume of applications being processed, and the promptness of the applicant in providing any additional required information or documentation. In many cases, applications can be processed on the same day if all necessary information is provided promptly. Applications typically take 1-3 business days to determine eligibility.
You can follow along on the status of your applications in your portal by navigating to the "Find Resident" page and clicking on the "Applicants" tab.

Once there, you will see the status of your applications. There are several pieces of information provided here for you to be able to follow along -- the application stage, submitted dates, and needed information.

Application Stage

Applications can live in one of several different stages. Here is what they each mean:

  • Application Received - Our team has received the application in our systems and has not yet started our review of the application. We have an internal prioritization for our applications to allow our team to move as fast as possible. If your application is in this stage, we will get to it shortly.
  • Failed Auto-Review - Applications in this stage are unlikely to be eligible. We have reviewed and have reached out to the applicant(s) to ask them to provide additional information that may allow us to reconsider their application. If we do not hear back within 1-2 days, we will move them to a Guaranteed Rent Ineligible stage
  • Housing Assistance - Applications in this stage have applied with a housing voucher, sometimes known as Section 8. Applications in this status will take considerably longer to process as you must work with the local housing authority, with Nomad's assistance. Expect applications in this status to take two weeks to fully process.
  • Additional Info Needed - Applications in this stage are missing a significant amount of information, which is impeding our ability to issue a decision. We have reached out to the applicants to ask them to provide this information
  • Manual Review  - Applications in this stage are generally missing 1 or 2 things that we will need before we can issue a decision. These applications are almost complete, and we have reached out for the missing information.
  • Passed Auto-Review - Applications in this stage are complete. It has been moved forward by our team, and needs a second review from another team member before it can move forward. This will happen shortly.
  • Ready for Lease - Applications in this stage are ready to have a lease sent to them. When an application is in this stage, you can select this application group and begin the lease generation process.
  • Signed, Needs Deposit - In this stage, you have sent a lease to the tenant and they have signed it. They will need to pay the deposit to secure the lease. Our team will send them instructions to do so.
  • Lease Complete - The lease has been signed and the deposit has been paid. This lease is complete and you have secured a new resident!
  • Guaranteed Rent Ineligible - Applications in this stage do not meet our screening criteria and are unable or unwilling to rectify deficiencies.
  • Eligible - Not Selected - Applications in this stage have either opted out of the process after being told they are eligible, or represent an applicant group that was not selected to receive a lease by you.
  • No Decision - These applicants have opted out or stopped responding to our outreach before Nomad could issue an eligibility decision.

To help you understand what may be missing from an application, Nomad also provides you with needed information here are the items you may see attached to your application:

  • Missing Income Verification
  • Missing Misc. Docs
  • Needs Co-Signer
  • Section 8
  • Other Applicants Need to Apply
  • Eviction/Criminal Report Pending
  • Complete/Nothing Needed

If you see one of these items, rest assured that our team has reached out to the applicant to request the needed information. When your applicant responds with the needed information, we will move quickly to continue processing their application.
